Keep-U-In-Mind Ltd is a mental health charity providing a variety of support services. It has a small number of employed staff, but much of the work is done by volunteers. One of the volunteers, Marissa, runs an online newsletter for the charity.

This includes a variety of stories about how the organization has helped people; the stories are suitably anonymized unless specific permission has been given by the individuals involved to disclose any aspect of their identity.

Marissa’s newsletters are checked by a senior employee of Keep-U-In-Mind, Don, to ensure that no privacy violations occur. Apart from anonymity, some key details of stories were also kept back, so that clients would not necessarily recognize their own individual stories in the newsletter.

On taking up her role, Marissa signed a confidentiality agreement with respect to all information she got through her work with the charity. She is supposed to be supervised at all times while she has access to the computer system, either by Don, his personal assistant, or one of the other full-time staff.

Initially, someone was always present in the office with Marissa when she was working; however, staff supervising her found that it impeded the performance of their own jobs and over time, as Marissa proved to be diligent and reliable, she was almost always left alone to get on with her task.
